Special Events Manager
U.S. Military organization in Japan seeks full-time Special Events
Manager for management and administration of the Special Events
program. Develops, implements and manages a variety of special events
that are designed to enhance the quality of life. Evaluates program
efficacy and efficiency by initiating surveys; informally questioning
patrons, observing patron reaction to services offered; and forming
focus groups. Establishes agenda for steering committee meetings and
special event planning development sessions. Creates and disseminates
LOI’s which provide specific details as pertains to special event
resource allocation, site selection, equipment and staffing
requirements, restroom needs, anticipated capital expenditure, and
various logistical details. Coordinates the acquisition and placement
of required equipment, to include, but not limited to, beer trailers,
mobile stages, tents, generators, fuel, food service equipment, snack
trailers, tractor-trailers, communications, and forklifts. Assists with
on-site support to include preparing layout of the facility/venue, and
making adjustments as necessary. Establishes and/or adheres to all
policies that address the collection of registration fees, the
disposition of said funds, and appropriate documentation and
utilization of petty cash funds. Plans and schedules transportation
requirements for special events. Develops substantive relationships
with vendors, contractors, and unit commanders in order to procure or
rent specialized equipment such as generators, portable toilets, and
other plant material. Prepares and proposes comprehensive operating
budgets to support on-going activities and projected special events.
When required, prepares substantive justifications to support budget
requests. Coordinates special event publicity efforts with Marketing to
maximize and promote event awareness. Interacts with Sponsorship
Coordinator to ensure event theme is linked with potential sponsors.
Provides Marketing with conceptual marketing guidance as it pertains to
the development of posters, banners, and other promotional material.
Prepares after-action reports for each special event. Ensures the
required work force is recruited for scheduled special event. Conducts
orientation and safety briefs for workers prior to each special event.
Prepares financial plan, inventories, cost controls, and related
records and reports. Trains staff, schedules work, appraises
performance, counsels assigned personnel, and recommends personnel
actions. Effectively supports the Marine Corps Equal Employment
Opportunity policy.
Minimum Qualification: A minimum of four years experience which
demonstrate the ability to plan, organize, and direct the activities of
a special events program or a Bachelor of Arts degree in recreation or
a related field from an accredited university. Prior military planning
experience at the supervisory level for a headquarters level is
desired. Knowledge of event planning principles and concepts as it
pertains to identifying the entertainment and recreational interests of
the serviced community. Knowledge of accounting procedures to identify
projected event costs, develop budgets, and effectively allocate
resources base on specific budgetary constraints. Knowledge of customer
service principles in order to identify customer needs and concerns;
satisfy those needs; and develop substantive customer relationships.
Ability to communicate effectively in writing and orally to various
management levels and audiences. MUST BE UNITED STATES CITIZEN.
