The event rental industry is looking at a great year ahead and one that may require planners and other event professionals to be increasingly flexible. As the demand for rental grows, the lead times for bookings and setups might be longer than in recent years. Communicating your needs in advance is crucial to meeting the expectations of your clients and maintaining your relationship with rental stores.  

Economy drives decisions 

Heading into 2025, many people are focused on the economy, and rightly so. Everyone is impacted by the rise in inflation, making it unsurprising that consumers are more budget conscious. As a special events planner, it’s helpful to understand the current costs of rental. Stay informed of your rental partner’s pricing and get these costs in front of clients early and often. That way, you can increase their awareness and temper expectations.  

Corporations, on the other hand, aren’t as affected by the economy as individuals. There hasn’t been a large change in corporate events like we’ve seen for weddings. The trend is for couples to opt for smaller, more intimate wedding celebrations—which may be a result of the economic situation. 

The focus on sustainability persists 

The demand for eco-friendly options is affecting the industry, too, but in a more nuanced way. It’s affecting both the type of companies planners seek out and the inventory that rental stores are investing in.  

The good news is the rental industry was founded on the principle of sustainability. The act of renting an item and then returning it for the next person to use, can be an immediate draw for customers passionate about sustainability. Rental stores can appeal to customers further by carrying eco-friendly options and products made using natural, organic materials. That way, clients can easily justify their spending knowing they’ve chosen the most environmentally conscious option.  

So, what can you expect to see in 2025? Here are the four event rental trends planners can expect to see more of in the year ahead: 

Ultra-personalized experiences 

Everyone wants to do it differently and ultimately, do it better. Small, unique events with a smaller guest list allow room to create a more intimate, personalized experience. Perhaps that’s reflected in a different cocktail glass for each signature drink, lit signage using the couple's last name, or adding unique touches to rental items. Even the world of corporate events will see this trend play out with outdoor seating that promotes relaxation and conversation. 

Alternate venues 

The desire for more unique events carries into the venue selection. People are getting increasingly creative with where and how they hold events. The mindset is this: Any space can be an event space. You can put up a tent anywhere, and then use rental pieces to build out the rest. Wineries and breweries are ideal candidates for a unique venue, often with ample space and beauty already built in. 

Sustainability 

The interest in farm-to-table catering options is growing, as are practical ways to make an event sustainable, such as adding a refillable water station to conference venues. If you haven’t done so, now is the time to re-evaluate your processes through the lens of respecting the environment and offering more environmentally friendly products. As noted, renting decor, linen, and flatware is the perfect way to reduce an event’s footprint. 

Dramatic visuals 

Think bigger, bolder, and more reflective of the hosts’ personalities. Deep jewel tones and bold colors are back, great for creating vibrant florals and an inviting atmosphere. Large, unique centerpieces, patterned linens, and gold-plated flatware are fun ways to leave a lasting impression on guests.
